Your team should not be the integration layer.

What this looks like
  • →The same customer name, address, or job number gets typed into three tools.
  • →A closed deal in the CRM gets re-typed into billing by someone else.
  • →Field notes get copied from one app into another by hand.
  • →Errors show up because the second entry doesn’t match the first.
Why it happens

The systems were never connected, so a person became the connection. It usually starts as a one-off ("just enter it over there too") and becomes a permanent, invisible part of someone’s job.

What it costs

Re-entry is slow, and it’s also where errors get introduced: a transposed digit, a dropped field, a status that never gets updated in the second system because nobody remembered to. The rework from those errors usually costs more than the entry itself.

What companies try first
  • →Asking the team to "just be more careful."
  • →Building a spreadsheet as a middle step between two systems.
  • →Hiring an admin specifically to keep two systems in sync.
Before you automate

Confirm which fields actually need to exist in both systems. Some duplicate entry is compensating for a report or habit nobody has questioned in years. Automating it just makes the unnecessary copy faster.

What can be automated
  • →Transferring a record from one system to another the moment it’s created.
  • →Keeping shared fields in sync going forward.
  • →Validating entries against a source system before they save.
What stays human
  • →Entering information that only exists in one place: a phone call, a judgment call.
  • →Reviewing flagged mismatches the sync can’t resolve on its own.
How we approach it

We trace each piece of data from where it’s first captured to every place it gets re-typed, then connect the systems so it moves once. What used to be a second (or third) entry becomes a review step, or disappears entirely.
